IT TEAM SUPPORT

A partner, not a subcontractor

Your IT department is too small for everything it's expected to handle.

L1, L2 SUPPORT AND ACCESS TO L3 · BACKUP FOR YOUR TEAM · PARTNERSHIP MODEL

Engave isn't here to take your job. It's here to take the part that doesn't require your expertise - so that expertise can go to work where it actually creates value.

Helpdesk, onboarding and day-to-day tickets come to us. Infrastructure, projects, security and architecture - you decide what stays with you and what we support. Together, as one team.

We don't come to replace your department. We come to take off its shoulders what doesn't require its expertise,
so that expertise can go to work where it delivers the most value.

Six Situations That Cost You Too Much.

Every one of these is well known to any IT manager at a 20-100 person company. And each has a concrete solution - no new hiring, no giving up control of your environment.

01

You took a vacation. Your phone doesn't stop ringing.

+

Two weeks off looks like this: three calls a day, one evening incident, and a text from your manager on Saturday morning. Not because you're irreplaceable - because there's no one to hand continuity over to. The helpdesk stalls, admin tasks wait, users call you because they have no other number. Vacation turns into remote on-call duty with a sea view.

The Standard and Max packages cover critical incidents outside business hours - so you get the right to real rest, not just a change of scenery.

02

The project has been stuck for a quarter. Because every day you're putting out different fires.

+

The Azure migration planned for Q1 has been on the list since Q4 of last year. Rolling out the new backup system - even longer. Designing the DR site - not started at all. Not for lack of skills. Because between ongoing L2 administration, updates, monitoring and daily user tickets, there isn't an hour left to sit down and design architecture.

Engave takes over the operational layers - you get back the time for the reason you're actually here.

03

You're the administrator, the network specialist, the backup expert and the helpdesk, all at once.

+

Windows Server administrator, LAN/WAN specialist, DBA, backup and recovery expert, security policy owner, user helpdesk. In a small or mid-sized IT department, this is often one person. And no one - literally no one - can perform every one of these roles at a deep level of specialization at the same time.

You know exactly when you need someone with real penetration-testing experience, Infrastructure as Code skills, or experience designing an HA cluster. The problem is that without a separate hire, you simply have nowhere to turn for it.

04

The board asks about SLA. You don't have a number in the contract.

+

"What's the guaranteed response time for a server failure?" - the question comes up in a meeting. The honest answer is: we do our best, as fast as we can. Except that answer doesn't satisfy the board, doesn't pass due diligence for a contract with a larger client, and doesn't meet an auditor's requirements.

Without a formal SLA, your department is invisible when everything works - and highly visible the moment something breaks. It's a hard asymmetry to escape without solid data and a contract that simply defines it.

05

Documentation is always "tomorrow's job." Has been for three years.

+

The infrastructure map exists mainly in your head. Permission documentation - partly in OneNote, partly in a file called "old_network_diagram_v3_FINAL.vsd," partly nowhere. Onboarding a new IT specialist means two weeks of discovering the environment through trial and error.

You know perfectly well it needs to get done. You also know that, given your current workload, it will always be next in line - never first. The Zero Review at the start of our engagement creates that documentation as a natural byproduct of the audit we run anyway.

06

A second office and twenty new people. The IT department the same as a year ago.

+

The company opens a new branch or hires twenty people in one quarter. Every new hire means a few hours of onboarding: account, permissions, hardware, M365, VPN, resource access. A new office means a new network, new devices, connecting to headquarters, and probably a server to set up as well.

Operational scale grows linearly. IT department resources - don't. And no one asks whether you're ready for all of it at once. An email just arrives from HR: "18 new people start on the 1st."

87% of companies have a backup that hasn't been tested in over 6 months. This figure comes from the Zero Reviews we've carried out over the past two years. Backup is "configured" - but no one has checked whether the data can actually be restored. In 30% of cases, it turns out the last working copy is more than a year old.
Backup verification is the first L2 task we take over from every client. Not because your team can't do it - because with the current workload, there simply isn't time.

Three packages.
Clear numbers. No fine print.

Fixed hours in the subscription, a pre-agreed rate for extra support, SLA guaranteed in the contract. You know what you're buying before you sign.

Cooperation model

How it works in practice:

A clear split of responsibilities. No "is that yours or ours?" moments. You're the architect and the decision-maker. We're the operational arm of your department wherever you need it.

01

Zero Review: we get to know your environment together

+

Before we take over anything, we spend time understanding your environment - together with you, not apart from you. Infrastructure inventory, permissions map, backup verification, documentation. The result is a ready-made document you can present to the board - and a reference point for the entire collaboration going forward.

✓ Free when you sign the contract

02

L1 comes to us. You get your time back.

+

User helpdesk, onboarding and offboarding, password resets, device configuration, M365, Teams, VPN - everything that eats up your time without needing your expertise is taken over by a dedicated Engave L1 team with a guaranteed SLA. Your users get a single contact number. You get your time back for the projects that matter.

✓ SLA guaranteed in the contract

03

We support or fully take over L2

+

Server administration, 24/7 monitoring, backup verification, security updates, critical incidents. Depending on the model, we either support your team at L2 (hybrid model) or manage the infrastructure in full. Always with full documentation and transparent ticketing.

✓ You decide the scope

04

L3 - expertise you don't have in-house

+

Penetration testing, cloud migrations, DR site design, security audits. These are skills that usually don't exist as deep specializations in a small or mid-sized IT department. At Engave, they do - and you can tap into them without hiring another full-time person.

✓ Access included in the subscription

05

Clear data for the board

+

Monthly report from the ticketing system: number of tickets, L1/L2/L3 breakdown, response times, list of completed work, SLA in numbers. It's the material that turns the conversation with the board from "is IT working?" into "how is it working, and why do we need more resources?" Your department gains visibility and arguments.

✓ Monthly report included in the subscription price

100%

Vacation without phone calls

Vacation means vacation. The Standard and Max packages cover critical incidents outside business hours. L1 and L2 keep running without you - you can turn off your phone and know someone's got it covered.

4×/year

Backup tested

Engave's L2 team runs restore tests at least quarterly. You can be sure the data can actually be restored.

0

Single point of failure

Redundancy in human resources. Engave removes dependency on a single person, both on the helpdesk side (L1) and infrastructure administration (L2). The company keeps running, always.

Frequently asked questions

Questions IT managers ask before making a decision.

You're the architect and decision-maker - always. Engave acts as an operator and executor, not an owner of the infrastructure. Any change to configuration, architecture or security policy requires your approval. In a model where you have an internal IT department, Engave only carries out what you approve. We can recommend, propose and flag risks - but the decision always stays with you. Full documentation of every change goes into the ticketing system and the monthly report.

At the start of the engagement, we agree on the exact scope of access - remote (RDP, SSH, monitoring tools) and physical (server room visits). Engave doesn't have standing, unrestricted access to everything. Access is granted according to the package scope and can be modified or revoked at any time. The Zero Review includes an inventory of existing access rights and is often an opportunity to clean them up - many companies discover forgotten service accounts with admin rights during this process. Everything is documented, and you have full visibility into who had access to what, and when.

Yes - and it's one of the most common models. The hybrid collaboration model is the standard, not the exception. A typical scenario: Engave takes over the entire L1 helpdesk (users get one number, you get peace of mind), your department handles L2 and L3. Alternatively, Engave supports you at L2 in areas where you have skill gaps (e.g. security or backup), and your department handles the rest. We define the scope during the Zero Review - tailored to what you actually need, not a fixed template.

Package hours cover all work performed under the subscription: L1 tickets, L2 work, remote support, reviews, documentation. Every task is logged in the ticketing system in 30-minute increments. You have real-time access to the ticketing portal - you can check at any moment how many hours have been used and on what. At the end of the month, you get a report with a full breakdown. Hours don't roll over to the next month - which makes sense: we're keeping the team on standby around the clock, not running an hours bank.

In the Standard (1 incident/month) and Max (2 incidents/month) packages, an on-call Engave engineer is available 24/7 for critical incidents. A critical incident means: an unavailable server, multiple users unable to work, a security breach. You report it through a dedicated emergency number (not the ticketing portal), and a 1-business-hour response time is guaranteed. In the Mini package, incidents outside business hours are handled the next business day, which reflects the subscription price. If you need full 24/7 availability, we can discuss expanding the package.

The environment documentation created during our cooperation belongs to you - not to Engave. When the cooperation ends, we hand over the complete documentation in a form ready to be taken over by another provider or your own team. This is one of the goals of the Zero Review and systematic documentation - so you're never held hostage by a vendor. It's stated explicitly in the contract: all documents, infrastructure maps and configurations produced are your property.

Engave has 15 years of experience and 500+ implementations across Poland - which means exposure to a very wide range of technologies. Our expertise is backed by certifications in Microsoft environments (Azure, M365, Entra ID), Veeam, VMware, Fortinet and Cisco. If you have a specific stack you want to verify before deciding - that's exactly what the initial conversation and Zero Review are for. We never claim competencies we don't have. If we come across an area outside our specialization, we say so directly and look for a solution together with you.

Scope of support

What exactly we can take over,
and what stays with you

A clear division of responsibilities. No "grey zones" or "is this on you?" questions. Every level has a defined scope - and you decide which ones you want to outsource.

L1

We take off your plate

The entire stream of everyday user requests

Helpdesk and day-to-day support

This is the part of your day that eats up time without engaging your expertise. Engave takes it over completely - your users call us, not you. That leaves you time for everything else.

  • Receiving and classifying 100% of tickets (email/phone/portal)
  • Break-fix: login, Outlook, VPN, Wi-Fi, Teams
  • Onboarding and offboarding - account and equipment setup
  • Password resets, MFA configuration, access management
  • M365 office applications - user support
  • Peripheral devices: printers, scanners, phones
  • Escalation to L2/L3 when it exceeds scope
  • Instructions and communications for users during mass outages

L3

Access included in the subscription

Deep specialization without hiring another person

Projects and expertise

Expertise that no single specialist has in full. At Engave you have access to it without separate recruitment - we bring L3 into projects alongside you or as an external resource.

  • Cloud migrations - Azure, M365, Google Workspace
  • Infrastructure implementations and modernizations - from design to handover
  • Infrastructure as Code - Terraform, Ansible, automation
  • Penetration testing and offensive security audits
  • DR site design - failover scenarios
  • Scaling infrastructure to match company growth
  • Zero Trust implementation, security policies, NIS2 compliance

Talking to the board

How to justify outsourcing to a manager who doesn't understand IT.

This is the second hardest task for an IT Manager - after the operational work itself. We've gathered ready-made arguments that work in conversations with the CEO, CFO and COO.

What this conversation usually looks like

  • "We've got you - why do we need outsourcing too?"
Because one person can't be a helpdesk, a server administrator and a security expert all at once.
  • "That's an extra cost."
Yes - but lower than the cost of a single outage that stops the company for a day. Or lower than a failed L3 specialist recruitment.
  • "We can't hand our data over to an external company."
Engave doesn't store your data. It manages infrastructure - just like an external company manages security, elevators or cleaning.
  • "How do you know it pays off?"
There's no good answer to that question without data. That's exactly what this data is for.

What works in this conversation

  • Show the cost of a full-time hire.
An L2 IT specialist in Warsaw = PLN 12,000-18,000 gross + social security + equipment + risk of leaving. Engave's Standard package = PLN 5,500. Less than half.
  • Calculate the cost of your last outage.
Hours of downtime × number of people × hourly cost. A single incident often exceeds the annual cost of the subscription.
  • Show what you don't have right now.
A formal SLA, reporting for the board, environment documentation, access to pentests. Outsourcing isn't a cost - it's expertise the company doesn't have.
  • Propose a trial month.
Engave offers the first month free. Zero financial risk - the board can assess the quality before committing to a long-term partnership.

Argument for the board

Engave's monthly report includes a full breakdown of completed work split by L1/L2/L3, response times vs. SLA, and a list of closed tickets. It's a document that turns the conversation with the board from "IT works" into "IT works, here's how many projects we're running, and here's what resource we're missing to move faster". Data is the argument. Engave delivers data as a byproduct of normal cooperation.
