Case Study - IT Management - Engave S.A.
How we centralized IT infrastructure management for the Polish branch of a global vehicle manufacturer without a single disruption to business operations
Project at a glance
Client
MAN Truck & Bus Polska - truck and bus sales, after-sales service, fleet management, technical training
Challenge
Managing 400 endpoints for a growing organization without scaling up the IT team
Solution
Deployment of ManageEngine: Desktop Central, Mobile Device Manager, OpManager Plus
Partners
Engave S.A. (analysis, design, deployment, configuration) and MWT Solutions
Result
One IT position now runs the entire environment - device management is automated, and MDM is practically hands-off
Problem
MAN Truck & Bus Polska isn't a small business with a handful of computers. It's an organization handling sales and service for trucks, buses, and delivery vans - with an entire IT infrastructure that has to run without interruption, because mechanics, sales staff, and fleet managers rely on it every single day.
As the company grew rapidly, the number of endpoints reached 400 - desktops, laptops, mobile devices. Each with its own configuration, each needing updates, security policy monitoring, and support when something broke. Managing that environment without the right tools is a job for several people - or for one position that has no time left for anything else.
MAN already had some experience with ManageEngine - the helpdesk was up and running. But that was just one area out of several that needed automation. The question was: how do you extend that same logic across the whole environment - computer management, mobile device management, infrastructure monitoring - without stopping the business for even a single day?
Challenge
400 devices means 400 points where something can go wrong: a missing update, an unmet security policy, unauthorized software. Managing that manually across a distributed environment is possible - but it eats up time that should be going elsewhere.
Sales reps, field service technicians, fleet managers - part of MAN's workforce operates out in the field. Mobile devices need their own management layer: an app catalog, access policies, and the ability to act remotely if a device is lost or stolen.
The IT department needed a single place to see the state of the entire environment - not to react to outages, but to prevent them before they affected operations. And reports for management needed to be generated automatically, without eating into specialists' time.
On top of that came a key condition that appears almost in passing in the original brief, but in practice is the hardest requirement of any deployment: no disruption to existing processes. At a company where vehicle service can't afford to wait, IT doesn't get to stop either.
Solution
Engave started where every good deployment should: with a needs analysis and a specification. Not with installing software. Only by first understanding the environment - how MAN uses its devices, what the security policies are, where the bottlenecks are - could the right configuration be chosen and the rollout carried out without risking disruption.
Updates, policies, permissions, configurations - all managed remotely from a single console, fully aligned with the company's security standards. Standardizing the configuration of every computer in the organization became an ongoing process, not a one-off project.
An app catalog, access policies, onboarding for new devices. The system runs autonomously enough that, as the client puts it, even the most stubborn IT skeptic can add a new device on their own.
Performance monitoring, infrastructure management, and reporting on critical situations - automatically, with alerts for the IT team and reports ready for management. The next step is building a CMDB to centralize data on all hardware and configurations.
The deployment didn't end the collaboration - it expanded it. Engave continues to support MAN Truck & Bus Polska with ongoing infrastructure management under an outsourcing model, covering selected areas of IT operations.
IT automation isn't about replacing people with machines. It's about letting one good person do the work that used to take three - while still having room for strategic thinking, not just firefighting.

Before the deployment, managing 400 devices demanded constant attention - every update, every policy change, every new device was its own separate task. Today, one person runs the entire environment and - more importantly - has time for additional responsibilities. Not because they work faster. Because the system took over everything that doesn't require a human decision.
MDM today comes down to managing the app catalog, because everything else happens automatically. Adding a new device to the environment is simple enough that users do it themselves - without involving IT.
The company can keep growing - hiring new people, adding devices, expanding the environment - without a linear rise in the IT department's workload. That's not just operational efficiency. That's scalability.
Client's voice
"Managing computers - updates, policy checks, rolling out changes - is now handled by one person, who still has time for a range of other tasks. MDM, meanwhile, comes down to essentially managing the app catalog, because everything else happens automatically. Adding a new device is so simple that even the most stubborn IT skeptic can handle it on their own."

Why it matters
Most IT teams buy tools reactively: something breaks - they look for a fix. MAN took a different approach: it identified where business growth would create IT bottlenecks and addressed them before they became problems.
The result is the exact opposite of the usual scenario: the company grows, but the IT workload doesn't. One person manages an environment that, a year earlier, would have needed several. And they have time to think about what's next - SharePoint, Exchange, a full CMDB - instead of putting out fires.
For Engave, this project is a case in point of something we've believed for years: a deployment starts with analysis, not installation. A tool that's well chosen and well configured makes a difference no shortcut can replicate.
What this means for your company
If your IT environment is growing faster than your team, this is exactly the moment to talk about automation - before the workload becomes a problem.
